ANSWERS

* Why is the existing structure being changed?
The existing structure has been in place for the last two years, since the introduction of monthly standing orders for session fees. The system has been very successful but has become increasingly difficult to manage from a swimming perspective due to the large amount of flexibility we have allowed in the system where swimmers could move between sessions at will. This has resulted in some sessions being overpopulated and many sessions having diverse abilities and ages, making coaching difficult.

The new structure defines a swimmer’s place in the club according to age and assigns a swimmer to a squad based on age and ability. Each squad will have predetermined session times. Each swimmer will pay a monthly session fee according to how many sessions they attend; this will be based on the squad to which they are assigned. In principle, movement between the squads will take place annually in September. Assessments for the Diddy A and B squads will be ongoing through the year.

Overall we believe the swimming offer made by Enderby SC is extremely competitive compared with other clubs. We also believe that the new structure will allow each swimmer to develop to their full potential and will allow them to reach the appropriate talent pathways available to them under the long term athlete development plan endorsed by LASA.

As you are aware the club has been awarded a £10,000 lottery grant and this is currently being used to pay for coach education within the club. This has meant that those funds the club had previously allocated to coach education are now able to be used for other expenditures within the club.

As part of our future development effective from 1st July 2009 we have appointed Guy Worrow as Director of Swimming for Enderby SC. Guy currently devotes a large amount of time to Enderby SC on a voluntary basis. In addition to this he will now be paid by the club for an additional 6 hours of time each week to fulfil his duties as Director of Swimming. The proposed new structure for coaching and sessions is the first step of Guy’s exciting new programme for Enderby SC.

Guy is a former Leicestershire  200m Junior and Senior Breaststroke County Champion  holding the senior title from 1999-2005, he also held the 200m Breaststroke Midlands title from 2000-2004 .He also swam at  National level, being a finalist for the 200m breaststroke from 2000-2004, narrowly missing a bronze medal in 2004. He is still a County record holder for both the 100m and 200m breaststroke events . In 2005 he ostensibly retired from swimming, completing his UKCC level 2 coaching qualification with Enderby SC , next year he plans to take level 3.

* How will the new squads be structured & what are their objectives?
All ages as at 11th September 2010 (Diddy league competition age entry date)

Learn to Swim (Up to 7 years old, born on or after 12-Sep-2002)
Coach Leader: Hugh Darlington
This squad will follow the National Teaching Plan for Swimming stages 1-7 followed by Bronze, Silver and Honours. At this stage the emphasis is on fun and water confidence. Other fundamentals will also be considered such as technique needed for competition  as we teach competitive swimming.
LTS Squad fees will be £12 per month for one session per week.

Pre Diddy (8 years old born between 12-Sep-2001 & 11-Sep-2002)
Coach Leader: Roger Graham
This squad will follow on the Bronze, Silver and Honours of the National Teaching Plan. The main emphasis in the sessions will be swimming technique, before speed of swimming becomes a consideration. There will also be emphasis on the execution of dives and tumble turns. The squad will be a bridging squad from LTS to Diddy, and swimmers may attend one, two or three sessions per week so that they can stage their transition into the Diddy squads. On reaching the age of nine all swimmers are expected to swim at least twice a week.
Pre-Diddy Squad fees will be £12, £18 or £25 per month dependent on number of sessions attended.

Diddy B (9 years old to 12 years old born between 12-Sep-1997 & 11-Sep-2001)
Coach Leader: Julie Darlington
In this squad they will see a gradual increase in training working them in slowly, until they reach 10 years old. At this stage swimmers reach full training potential and Diddy B will work closely with Diddy A. Some of Diddy A will be training at County squads and there will be room for potential Diddy A swimmers from the Diddy B squad to train with the Diddy A. Technique and stamina work become important at this stage.
Diddy B Squad fees will be £18 or £25 dependent on sessions attended (a one session per week fee is not available to this squad). It is recommended that all swimmers attend three sessions per week.

Diddy A (9 years old to 12 years old born between 12-Sep-1997 & 11-Sep-2001)
Coach Leader: Guy Worrow
As per Diddy B above, the two squads will work closely together. The Diddy A squad will provide a pathway for swimmers into the County development squads. It will be important that swimmers in this squad swim the correct number of sessions per week.
Diddy A Squad fees will be £18 or £25 dependent on sessions attended (a one session per week fee is not available to this squad). It is recommended that all swimmers attend three sessions per week.

Seniors (13 upwards born on or before 11-Sep-2001)
Coach Leader: Martin Thompson
This squad will be fed from both the Diddy A & B squads. Due to the numbers of swimmers joining the seniors each year some discretion on attendance will be allowed. The senior coach will concentrate on distance and stamina rather than stroke work.
Squad fees will be £18, £25 or £30 per month dependent on sessions attended.

* When will it all start?
We plan to start the new sessions from Tuesday 1st December 2009, new session fees will be effective with the 2nd January 2010 session fee standing order..

* How much are the session fees for 2010?
Learn to Swim (LTS) - £12 per month (1 session per week)
1 session per week £12 per month
2 sessions per week £18 per month
3 sessions per week £25 per month
4 sessions per week £30 per month (3 swim sessions plus LBT)
Land Based Training (LBT) - £12 per month (standalone module)
 
Concessions will be given to any swimmer who swims with COLSC or LASA development group squads where they are unable to make Enderby SC sessions, Concessions will also be given to any swimmer who is unable to attend an Enderby SC session due to other swimming commitments, such as coaching. All concessions must be agreed in advance with the Treasurer.

* How much are the membership fees for 2010?
Category 1 Swimmers aged under 9 (Born on or after 1st Jan 2001) £25.00 (includes £6.75 ASA, £0.75 LASA affiliation fees, and £2.75 East Midlands fees)

Category 2 Swimmers aged 9 & over (Born on or before 31st Dec 2000) £55.00
(includes £22.00 ASA, £0.75 LASA affiliation fees, and £2.75 East Midlands fees)

Family Discounts
2 Swimmers in the same family £5.00 per family
3 Swimmers in the same family £10.00 per family
4 Swimmers in the same family £15.00 per family

Any swimmer who is also a member of COLSC on January 1st will be entitled to £15 concession against their annual Enderby SC membership fees.  Annual membership fees and Session fees will not be changed again until January 1st 2012.

* How is the annual membership fee paid?
Club membership is paid by everybody in three equal instalments on the 3rd January, 3rd February and the 3rd March each year (this enables us to collect fees before payment is made to the ASA on 31st March).  You will be required to complete a standing order mandate as part of your membership renewal.  If you are a triallist joining the club part way through the year, then, you will be asked to pay your membership by cheque (pro-rata membership fees are detailed on the ESC membership renewal form).  To download a copy of the ESC Membership Standing Order Mandate please <click here>.

* What do I need to do?
First you need to determine which squad you belong to. Details have been distributed via e-mail, if you are unsure please ask. Next you need to complete your 2010 membership renewal form and submit with your annual membership payment. You will also need to resubmit a session fee standing order form to start your new payments from 2nd January 2010. Turn up to all the sessions allocated for your squad.

* How can you justify the new session fee structure?
Learn to swim has been increased from £8 p.m. to £12 p.m.  We still feel that our Sunday 1730-1800 session offers excellent value for money.

All other swimmers will now pay £12 p.m. for one session per week, £18 p.m. for two sessions, £25 p.m. for 3 sessions  and £30 p.m. for 4 sessions per week. Session fees have remained unchanged since January 2008. Since January 2008 we have had 2 increases in pool hire charges and further increases are expected in April of 2010 and 2011. In addition for some sessions we are increasing session times from 60 minutes to 90 minutes.

The standalone Land Based Training (LBT) session for parents has been increased from £8 p.m. to £12 p.m.

The LBT add on module for senior swimmers takes their available sessions to a maximum of 4 per week.

Sibling discounts for annual membership have been revised as follows:-

2 swimmers remains at £5
3 swimmers moves from £8 to £10
4 swimmers or more moves from £10 to £15 .

* What if I can’t make all of my allocated sessions?
1.    Swimming across squads will not be allowed unless prior permission is obtained from your coach.
2.    If you are only paying for one or two sessions per week, you will be allowed to make up a session within your squad.
3.    If you are paying for 3 or 4 sessions we would like you to swim all sessions each week allocated to your squad. There is no facility to make up sessions..

* I am a triallist, how does this affect me?
All triallists first attend on the first Sunday of the month free of charge.  At the trial along with the membership application form you will be asked to complete a Standing Order Mandate to be effective from the 2nd of the following month.  All sessions attended in the month of the trial will be free of charge. Should you decide you do not wish to swim with Enderby SC simply stop your Standing Order and stop attending.  You will not be offered full membership.

* I am a triallist, what forms do I need to complete and by when?
There are three forms that need to be completed:-
ESC Membership form - this should have been completed on the 1st trial night and handed to the Chairman (or ESC representative).
ESC Membership Fees form - this needs to be completed and handed into the desk/chairman along with a cheque for the membership fee by the 2nd of the month after the 1st trial session e.g. if your 1st trial is in April, this form and fees are due by 2nd May.
Session Fees Standing Order Mandate - please complete this form and forward it to your bank so that the session fee payments can start on the 2nd of the month after the 1st trial session.

* Why do the club collect session fees by standing order instead of pre-paying or pay-as-you go?
   1) Our expenditure on pool hire is over £25000 p.a. and we need to ensure we are able to collect the money and pay for our committed pool hire costs.  There is a huge administrative burden involved in collecting this in cash on a session by session basis.
         a) we have to depend on a helper to take in the cash at each session
         b) we have to then get the cash to the treasurer to be reconciled and banked
         c) having many different people involved and physically carrying large amounts of cash is
             unsafe and not secure
         d) the administration of pre-pay sessions is complicated with different rates and durations.

   2) We introduced pre pay some years ago in an effort to ensure as a club we were not only getting guaranteed income into the club, especially at the satellite pool sessions where there wasn't always someone to collect cash on the door, and to ensure swimmers were committing to sessions every week. These have been very successful in achieving these aims and we have tweaked them from 12 to 10 to 8 weeks to try and help with outgoings for parents and swimmers. However, the system has become unwieldy and expensive. The new system eliminates the need for us to have new pre-pay sessions set up every couple of months and puts us in line with many other sports clubs who charge monthly fees.

   3) Swimmers do not have to remember to bring session fees with them to any session.

   4) We ensure that all swimmers pay for all sessions that they attend, eliminating the ( I will pay next time people) and the those that do not pass the desk at all! (Yes this does happen).

   5) The new system allows swimmers and parents to budget financially knowing exactly what is to be paid and when. No more surprising hits of pre-pay at those times when it can be least afforded.

* I am a senior swimmer unable to commit to swimming regularly, but I wish to continue coaching.
In this case you will be entitled to continue as a Cat 2 member, eligible for galas and club champs, and also enable to coach, but you will be excused monthly session fees.

* How will the club monitor monthly payments versus sessions attended?
All Standing Orders will be due on the 2nd of each month.  Each Standing Order payment will appear on the Club's bank statement with a reference to the swimmer's name.  Each month the Club will check that all registered members have paid their Standing Orders.  Random checks will be made against sessions attended as per the session registers against what each swimmer is paying for to ensure the system is not being abused.

* I can't swim because I am taking exams?
When taking GCSE's or A-levels swimmers will be allowed to reduce their monthly Standing Order to the one session per week fee for the months of April, May and June.

* Why is land based training (LBT) a session?
LBT is available to all swimmers 13 and over, it is an essential part of the training programme for LATD (long term athlete development).  It is currently available on Sundays at 6.00-7.00pm in the Enderby Leisure Centre gym and as such is one training session. Younger swimmers aged 11 and 12 may be eligible to attend after discussion with their coach as entrance criteria is dependant on both age and physique.

* I swim at 5.30 for 30 minutes, why am I paying the same as swimmers who have longer sessions? I swim for 90 minutes, why do I pay the same as those swimming for an hour?
We have classed all sessions whether they be 30, 60 or 90 minutes as the same in terms of fees. The primary reason for this is simplicity, however, there is also a logical reason.  The 30 min session for the 'Learn to Swim' and beginners is very coach intensive and is comparable to the type of swimming lessons available privately through such providers as SLM; the cost is still favourable. The senior swimmers who get 90 minute sessions need less coaches and are also benefiting from their long term support of the club.

* How will my Standing Order work?
You need to complete a Standing Order Mandate for the session fee payment to leave your bank account on the 2nd of each month. The payment will be as per your session band with your swimmer's name as the reference.  This payment will continue until you decide to stop it.  To download a copy of the Session Fees Standing Order Mandate <click here>.

* How can you justify a fixed equal monthly payment when we will swim more than our band sessions in some months and some months when we will swim less as in July and December when the club is closed?
We realise not all months are equal. The monthly payment is designed to represent session fees over a year. Club closures are published at the beginning of each year.

* Can we fill out a Standing Order for our family rather than for each swimmer?
No.  In order for us to monitor payments against attendance we need a Standing Order for each swimmer.

* I am a parent who attends land based training (LBT) how will this affect me?
LBT is classed as a session and only available to club members.  We ask any parents who attend LBT to set up a Standing Order for band 1 (1 session per week).  If you are not already registered as a club member then you will also need to pay the annual ASA fee of £3.50 to enable you to become one.

* What if I turn up for a session that is not one of my primary sessions and the pool is full?
Coaches will try to amend sessions to accommodate extra swimmers, possibly be swimming relays etc., but ultimately you may not be able to swim in exceptional circumstances if health and safety is an issue.

* How do I know what sessions are available to me for my age and ability?
The first person to ask is your coach, initially you will also be advised which sessions will be suitable for you.

* What do I do if I no longer wish to swim with the club?
You just stop your Standing Order and stop attending. (It would also be nice if you let us know in writing).

* How is the Club Championship fee paid?
The Club Championship is a series of five galas open exclusively to members of the club. By the end of April you will be required to submit your Club Championship entry form with a cheque for payment of your club championship fees (as detailed on the entry form).  All eligible club members are expected to enter the Club Championships.

* I am a development squad swimmer and would like to swim sessions at Enderby SC when the development squad are closed in August, what do I need to do?
Development squad swimmers are more than welcome to swim with the Enderby SC at this time. Please pay for the sessions in full in advance after agreeing with an Enderby SC coach which sessions you should attend.

* How are the attendance points allocated?
Swimmers are no longer capped to the number of sessions per week for which they can achieve attendance points.  Attendance points will be given for all sessions attended and recorded on the register. You will only receive points for those sessions for which you have been registered, not for those that you have paid for.  Attendance points will now only be given to swimmers attending Enderby SC sessions.
