Enderby SC  Fee Proposal 2008  (Changes since initial draft shown in red, ratified at AGM on November 12th 2007)

 

At the Enderby SC committee meeting on September 10th it was proposed and accepted by the committee that we should publish our fee proposals for 2008 prior to ratification at our AGM on November 12th to allow members to have a say in these proposals. The basic proposal is  to move to a monthly Standing Order (SO) for session fees and annual Direct Debit (DDR) for membership and Club Championship entrance fees. Following feedback received we have now decided that we will not collect annual membership by Direct Debit, but by standing order in 3 equal instalments on 3rd January, 3rd February and 3rd March. Should you wish to pay in one instalment we still ask that  this still be done by standing order and it will be taken on 3rd January. We have also decided to not collect the Club Championship fee by Direct Debit but to accept payment by cheque with entry form due at the end of April.

FAQ’s

 

Why are you changing the current system of a combination of pre pay and pay as you go sessions?

There are several reasons for this as listed below.

 

Our income and expenditure on pool hire has increased to over £25000 p.a. , we need to ensure we are able to collect the money and pay for our committed pool hire costs.

 

There is a huge administrative burden involved in collecting this in cash on a session by session basis.

-         One we have to depend on a helper to take in the cash at each session

-         Two we have to then get  the cash to the treasurer to be reconciled and banked

-         Three  having many different people involved and physically carrying large amounts of cash is unsafe and not secure

-         Four the administration of our pre pay sessions has become complicated with different rates and durations

We introduced pre pay some years ago in an effort to ensure as a club we were  not only getting guaranteed income into the club, especially at the satellite pool sessions where there wasn’t always someone to collect cash on the door, and to ensure swimmers were committing to sessions every week. These have been very successful in achieving these aims and we have tweaked them from 12 to 10 to 8 weeks to try and help with outgoings for parents and swimmers.  However the system has now become unwieldy and expensive.  The new system eliminates the need for us to have new pre-pay sessions set up every couple of months and puts us in line with many other sports clubs who charge monthly fees.

 

Swimmers do not have to remember to bring session fees with them to any session.

 

We will ensure that all swimmers pay for all sessions that they attend, eliminating the ( I will pay next time people) and the those that do not pass the desk at all! (Yes this does happen)

 

The new system allows swimmers and parents to budget financially knowing exactly what is to be paid and when. No more surprising hits of pre-pay at those times when it can be least afforded.

 

I am a senior swimmer unable to commit to swimming regularly, but I wish to continue coaching.

In this case you will be entitled to continue as a Cat 2 member, eligible for galas and club champs, and also enable to coach, but you will be excused your monthly session fees.

 

How will the club monitor monthly payments versus sessions attended?

All SO’s will be due on the second of each month. Each SO will appear on the Club’s bank statement with a reference to the swimmer’s name. Each month the Club will check that all registered members have paid their SO.

 

Random checks will be made against sessions attended as per the session registers against what each swimmer is paying for to ensure the system is not being abused.

 

How will I know what band of sessions I should be in?

As a general rule all Cat 1 swimmers (those under nine at 31st December) will be in band 1 as they are only expected to attend 1 session per week.

All Cat 2 swimmers (those over nine at December 31st) will be in at least band 2 as the Club rules stipulate that these swimmers should attend for a minimum of 2 sessions per week.

We will publish an initial set of bandings for each swimmer, based on previous attendance and sessions that they have attended.

 

I can’t swim because I am taking exams?

When taking GCSE’s or A-levels swimmers will be allowed to reduce their monthly SO to the one session per week fee for the months of April, May and June.

  

Why is LBT (land based training) a session?

LBT is available to all swimmers 11 and over, it is an essential part of the training programme for LATD (Long term athlete development). It is currently available for an hour on Sundays at 1800 in the Enderby LC gym.

 

I swim at 5.30 for 30 minutes, why I am I paying the same as swimmers who have longer sessions? I swim for 90 minutes why do I pay less than those swimming for an hour.

We have classed all sessions whether they be 30, 60 or 90 minutes as the same in terms of fees.

The primary reason for this is simplicity, but there is also a logic reason.

The 30 min session for the LTS and beginners is very coach intensive needing at least one coach per lane, it is also comparable to the type of sessions available privately through such providers as SLM and the cost is still favourable.

The senior swimmers who get 90 minute sessions need less coach time and also are benefiting from their longevity as club members.

 

How will my SO work?

Before the end of this year you will be asked to complete a SO to commence on January 2nd 2008. This will be for the session band agreed with you. This payment will continue until you decide to stop it.

 

How can you justify a fixed equal monthly payment when we will swim more than our band sessions in some months and some months when we will swim less as in July and December when the club is closed?

We realise not all months are equal. The monthly payment is designed to represent session fees over a year. However the banding of sessions does what it says. e.g. band 1 is for the equivalent of one session per week per month. If you are unable to make one of your normal sessions you are welcome to make it up by attending an alternative suitable session.

 

Can we fill out a SO for our family rather than for each swimmer?

In order for us to monitor payments against attendance we need each swimmer to complete a SO.

 

I am a parent who attends LBT how will this affect me?

LBT is classed as a session, we would ask any parents who attend LBT to set up a SO for band 1 1 session per week, and if not already registered as a club member to pay the annual ASA fee of £3.50 to enable you to be registered as club member.

 

What if I turn up for a session that is not one of my primary sessions and the pool is full?

Coaches will try to amend sessions to accommodate extra swimmers, possibly be swimming relays etc., but ultimately you may not be able to swim in exceptional circumstances if health and safety is an issue.

 

How do I know what sessions are available to me for my age and ability?

The first person to ask is your coach, initially you will also be advised which sessions will be suitable for you.

 

What do I do if I no longer wish to swim with the club?

You just stop your SO and stop attending. (It would also be nice if you let us know in writing)

 

I am a triallist, how does this affect me?

All triallists first attend on the first Sunday of  a month, this trial is foc. At the trial along with the membership application form you will be asked to complete a SO to be effective from the second of the following month. All sessions attended in the month of the trial will be  foc. Should you decide you do not wish to swim with Enderby SC simply stop your SO and stop attending. You will not be offered full membership.

 

How will the annual membership and club championship fees be paid?

We intend to have club memberships paid by everybody in three equal instalments on the 3rd January, 3rd February and the 3rd  March each year. (this enables us to collect fees before payment is made to the ASA on 31st March)You will be required to complete a standing order mandate as part of your membership  renewal. In addition by the end of April you will be required to submit your Club Championship entry form with a cheque for payment of your club championship fees, this is currently £15 for all swimmers except 8 year olds who pay £8. Standing order instructions will continue until withdrawn by members.

 

I have been asked to attend more  or less sessions each week than I am currently paying for, how do I change my SO?

Please ask for a new form at the desk or download one from the web page and submit it to the Treasurer asap.

 

I can’t make all my normal sessions and will be attending less than I am paying for this month. What should I do?

Do not change your SO. Please try and make up extra sessions either this month or next to balance your attendance versus your standard payments. If we think you should move to the next payment band you will hear from us.

 

I have attended extra sessions this month that I have not paid for, but I am not attending enough to move my payment upto the next band, what should I do?

Do not change your SO. We will be monitoring attendance to ensure the system is being used properly.

 

I swim for COLSC, or county development squad, how will this affect my monthly SO?

Your banding will be in relation to sessions attended run by Enderby SC, and will not include any sessions run by third parties.

 

How will these changes affect the attendance points trophy?

Swimmers will no longer be capped to the number of sessions per week for which they can achieve attendance points. Attendance points will be given for all sessions attended and recorded on the register. You will only receive points for those sessions for which you have been registered, not for those that you have paid for. Attendance points will now only be given to swimmers attending Enderby SC sessions.

 

So how much will I pay for 2008?

Band 1 ( 1 session per week)                £8 per month

Band 2 ( 2 sessions per week)              £16 per month

Band 3 ( 3 sessions per week )              £24 per month

Band 4 ( 4 sessions per week)              £30 per month

Band 5 (5 sessions per week)               £36 per month

 

Cost comparisons p.a. if a swimmer attends all sessions available to them (44 weeks p.a. at average of £2 per session)

Membership renewals will be issued at the end of November with standing order forms. We shall require these back by 14th December 2007.

 

Session fee standing order payments will commence on 2nd January 2008.
